1. Cancellation Overview

At Swastik Tour And Travels Private Limited, operating under the brand Only Road Trip, we understand that travel plans may change due to unforeseen circumstances. This Cancellation Policy explains the conditions, timelines, and applicable cancellation charges for bookings made through our website, customer support team, or authorized representatives.

By confirming a booking with us, you acknowledge that you have read and accepted this Cancellation Policy along with our Terms & Conditions and Refund Policy.

2. Tour Package Cancellation

Cancellation charges depend upon the date on which the written cancellation request is received by the Company. The effective cancellation date shall be the date on which we acknowledge the request.

The above charges are indicative and may vary depending on supplier policies, airline rules, hotel terms, seasonal demand, and destination-specific conditions.

3. Hotel Reservation Cancellation

Hotels follow their own cancellation policies. Some bookings may be fully refundable, partially refundable, or completely non-refundable depending on the selected rate plan. Any supplier-imposed cancellation charges will be deducted before processing eligible refunds.

4. Transport & Cab Cancellation

• Cancellation requests must be submitted in writing through email or the official booking channel.
• Last-minute cancellations may attract higher charges depending upon the service provider.
• Once the vehicle has been dispatched or the trip has commenced, cancellation may not be permitted.
• Toll taxes, parking charges, permits, and government fees already incurred may not be refundable.

5. Flight Cancellation

Flight tickets booked through the Company are subject to the airline's cancellation, refund, rescheduling, and fare rules. Promotional, discounted, group, and special fare tickets may be non-refundable or may attract substantial cancellation charges.

The Company acts only as a booking facilitator and shall not be responsible for any airline-imposed penalties, schedule changes, delays, cancellations, or operational decisions taken by the airline.

6. Activities & Sightseeing Cancellation

Adventure activities, sightseeing tours, attraction tickets, event passes, cruises, and other third-party services are governed by the cancellation policies of the respective service providers. Certain bookings may be completely non-refundable once confirmed.

7. Customized Tour Cancellation

Customized itineraries involve advance reservations with multiple suppliers. Therefore, cancellation charges may vary depending on the services already confirmed, supplier commitments, and expenses incurred prior to cancellation.

Any non-refundable payments made to hotels, transport providers, destination partners, guides, or other suppliers shall be deducted before calculating any eligible refund.

8. Amendments & Rescheduling

• Requests for date changes or itinerary modifications are subject to availability.
• Price differences, supplier charges, and amendment fees shall be payable by the customer.
• Rescheduling cannot be guaranteed once supplier confirmations have been issued.
• Certain promotional bookings may not permit amendments after confirmation.

9. Cancellation Request Process

All cancellation requests must be submitted through the registered email address used during booking or through our official customer support channels. Telephone requests alone shall not be treated as valid cancellation requests unless confirmed by the Company in writing.

10. No Show Policy

If a traveller fails to arrive at the designated reporting point, misses the scheduled departure, fails to board the transport, or does not utilize the booked services without prior written cancellation, the booking shall be treated as a No Show.

In such cases, no refund shall normally be payable unless otherwise approved by the respective service providers. Airline, hotel, transport operator, and destination partner policies shall prevail.

11. Force Majeure

Swastik Tour And Travels Private Limited shall not be held liable for cancellations, delays, itinerary changes, or service disruptions resulting from events beyond its reasonable control, including but not limited to natural disasters, floods, earthquakes, landslides, adverse weather, political unrest, strikes, pandemics, epidemics, war, terrorism, government restrictions, transport disruptions, or any other force majeure event.

12. Company's Right to Cancel

The Company reserves the right to cancel or modify any booking, itinerary, departure, accommodation, transportation, or travel service if required due to operational reasons, safety concerns, insufficient participation, supplier issues, or circumstances beyond the Company's control.

Wherever applicable, customers shall be offered suitable alternatives or refunds in accordance with the applicable supplier terms and the Company's Refund Policy.
