Booking Policy

1. Booking Overview

This Booking Policy governs all bookings made with Swastik Tour And Travels Private Limited, operating under the brand Only Road Trip. By confirming a booking with us, you agree to this Booking Policy, our Terms & Conditions, Privacy Policy, Cancellation Policy, and Refund Policy.

A booking shall be considered valid only after the required payment has been received and an official confirmation has been issued by the Company.

2. Booking Confirmation

Every booking is subject to availability of hotels, transportation, flights, activities, permits, and other travel services. Confirmation will be provided only after successful verification and receipt of the required booking amount.

• An official Booking Confirmation shall be shared via email or WhatsApp.
• Customers must verify all traveller names, travel dates, destinations, and package details immediately after receiving confirmation.
• Any correction requested after confirmation may attract amendment charges.

3. Advance Payment

To secure reservations with hotels, transport providers, airlines, and destination partners, an advance payment is generally required at the time of booking.

4. Balance Payment

The remaining balance must be paid on or before the due date communicated by the Company. Failure to make timely payment may result in automatic cancellation of the booking and applicable cancellation charges may apply.

The Company reserves the right to release hotel rooms, transportation, flight seats, or other reserved services if the balance payment is not received within the prescribed timeline.

5. Accepted Payment Methods

The Company accepts payments through approved banking and digital payment channels. Customers must ensure that payments are made only to the official accounts communicated by Swastik Tour And Travels Private Limited.

• Bank Transfer (NEFT / RTGS / IMPS)
• Approved Payment Gateway Transactions

Customers are advised not to transfer money to any personal bank account unless officially authorized in writing by the Company.

6. Customer Responsibilities

Customers are responsible for providing complete and accurate information during the booking process. Incorrect information may result in booking delays, additional charges, or cancellation by suppliers.

• Correct traveller names as per government-issued ID.
• Valid mobile number and email address.
• Accurate travel dates and passenger details.
• Disclosure of any medical conditions or special assistance requirements.
• Carrying valid identity and travel documents during the trip.

7. Price Changes

Prices quoted by the Company are based on prevailing supplier rates, taxes, fuel prices, and government regulations. Before final confirmation, prices may change due to factors beyond the Company's control.

Once the booking is confirmed and full payment obligations have been met, price revisions shall generally not apply unless required by government authorities or supplier-imposed changes.

8. Booking Amendments

Requests to modify travel dates, destinations, traveller names, hotels, transportation, or other booking components shall be subject to availability and approval by the respective suppliers.

• Amendment requests should be submitted as early as possible.
• Supplier amendment charges may apply.
• Some promotional or discounted bookings may not permit modifications.
• The Company cannot guarantee availability after a booking has been amended.

9. Special Requests

Requests such as adjoining rooms, wheelchair assistance, special meals, early check-in, late check-out, higher-floor rooms, or other preferences will be forwarded to the relevant service providers. While the Company will make reasonable efforts to accommodate such requests, they are subject to availability and cannot be guaranteed unless expressly confirmed in writing.

10. Booking Cancellation

Booking cancellations shall be governed by the Company's Cancellation Policy and Refund Policy. Cancellation charges may vary depending upon the type of booking, supplier terms, seasonality, and the time remaining before departure.

Customers are advised to review the applicable cancellation terms carefully before confirming any booking.

11. Company's Rights

Swastik Tour And Travels Private Limited reserves the right to refuse, suspend, modify, or cancel any booking in situations involving fraudulent activity, violation of applicable laws, misuse of promotional offers, abusive behaviour, safety concerns, operational requirements, supplier limitations, or circumstances beyond the Company's reasonable control.

Wherever reasonably possible, affected customers shall be informed promptly and appropriate alternatives or refunds shall be considered in accordance with the applicable policies.

12. Governing Law & Jurisdiction

This Booking Policy shall be governed by and interpreted in accordance with the laws of India. Any dispute arising from or relating to bookings made with the Company shall be subject to the exclusive jurisdiction of the competent courts located in Gurugram, Haryana.
